The following features have been added to Version 3.83:
1. Real Time Claim Status
For claims submitted through Suzy’s Electronic Claims System, users can now get real time status for claims submitted. The claim must have been submitted on or after September 1, 2008, and the user must have an active internet connection.
The Claim Viewer window now has 2 additional buttons for the primary and secondary claims. If the claim has been submitted through ECS on or after September 1, 2008, these buttons will be active. Clicking these buttons will cause Suzy to interact with Emdeon (our insurance cleaninghouse) and retrieve up to date information on the status of this claim.
2. Insurance Changes
A. Dental insurance has been modified to increase the number of insured/subscriber combinations allowed. The new rules are listed at the end of this document. Note that Medical insurance has not been altered.
B. Claims submitted which use the 837 format (typically Medicaid) are now tracked by batch. That is, all claims submitted are flagged by the date and time submitted. These claims may be added back in or removed at any time.
To use this feature, click on either the “Add” or “Remove” button on the bottom of the Print/Submit Claims Screen. The screen for adding or removing claims appears. On the bottom is a new button that says “Add/Remove Claims by Batch”. Clicking on this button retrives all claim batches for this form type in the last 6 months. The user can then select the batch of interest and either add all these claims back (if they are not currently flagged) or remove them (if they are flagged).
C. The YTD totals on the lower left of the Patient Information Screen have been replaced with a button which shows the YTD totals for each insurance company based on the date of service rather than the posting date of the payment (this is the date used by insurance companies to determine yearly maximums). There is also an option to display these totals for previous years.
3. Lab Work Manager
A. Lab work has now been fully integrated into the program. Lab work can be viewed through the Main Menu, from the Patient Menu, or from the Scheduler.
B. A laboratory master file has been added which is manipulated in Master File Maintenance.
C. Lab work can be linked to an appointment.
D. A report has been created (End of Day -> Daily Appointment Reports -> Appointment-Lab Work) which can be used to display all lab work or any outstanding lab work.
Note that when lab data is accessed from the main menu all lab work is available for viewing and editing.
When accessed from the patient screen only lab work for that patient is available for viewing and editing.
When accessed from the Scheduler (by double clicking on an existing appointment) all lab work for that individual is displayed but the only work which can be edited is the work associated with that appointment.
4. Detailed Notes
Detailed notes can now be stored for a patient. Each note is stamped with the date and time it was created and the Suzy user who created it. Notes can be of any length and can be locked immediately after creation, the next day, or always remain unlocked. Once locked notes can still be viewed but not changed.
The detailed notes are accessed by clicking on the small pencil to the right of the patient’s account number on the patient information screen. Or, you can select “Detailed Notes” from the “Options” drop down menu at the top of the screen.
5. Year to Date Insurance Paid
The value for total insurance paid on the patient information screen has been replaced by a button which recalculates this value using the date of service (as opposed to the date of the payment). A separate screen now opens which displays this total for every insurance company and for the primary/secondary split for each company.
6. Other Changes
A. A telephone number can be entered in the home phone field for blocked appointment slots which will now display on the Scheduler if the blocked time is at least 2 slots long. The number will be preceded by a (C) (as opposed to patient numbers which are preceded by (H), (B), or (M)) to indicate a (C)ontact telephone number.
B. A uniform date range selection field has been added. The choices are:
-Today
-Week to Date
-Last Week
-Month to Date
-Last Month
-Quarter to Date
-Last Quarter
-Year to Date
-Last Year
-All
-Date Range (User selects start and end date)
Note also the default date is still a function of the individual program. The above range has been added to the following reports:
-A/R Totals
-A/R Transaction by Description
-Production and Collection
-Ins Co Analysis
-Enhanced Procedure Analysis
-Multi Services
-Referrer List and Production
-Outstanding Claims
C. The Card Scanning routine now has the ability to move images from one insurance company to another, and also to print a copy of the insurance card.
D. The automatic backup routine now has an algorithm for removing older backup files. Remember this is NOT a replacement for scheduled backups.
E. (New on 04/08/09) The Prescription Writer now allows multiple prescription formats for a state. (Note: to use this feature the version date must be
04/07/09 or later).
Suzy Dental Revised Insurance Rules:
1 – Every member of a family must have one of the relations below:
- Guarantor
- Responsible Party
- Insured Spouse
- Spouse
- Other
- Child
2 – No one can have a secondary policy without having a primary policy.
3 – If someone is an Insured Spouse in the HH, there can be no other insurance in the HH except for the policies owned by the Insured Spouse. The primary policy of the Insured Spouse can be the primary or secondary policy for anyone else, and the secondary policy can be the secondary policy for anyone else. Note that for an Insured Spouse items 4-9 below do not apply.
4 – Anyone in the HH can have their own policies.
5 – The primary policy of a Guarantor or Responsible Party can be the primary policy of a Spouse, Other person, or Child.
6 – The primary policy of a Spouse can be the primary policy of an Other person or Child.
7 – The primary policy of a Guarantor, Responsible Party, Spouse, or Other can be the Secondary Policy of anyone else (subject to No. 2). (*** May be new ***).
8 – The secondary policy of a Guarantor or Responsible Party can be the Secondary Policy of anyone else (subject to No. 2). (*** new ***).
9 – The secondary policy of a Spouse can be the secondary policy of an Other person or Child (*** new ***)
10 – A person’s secondary policy can never be a primary policy for anyone else.
